Job Title:                       Executive Secretary

Terms of employment     Contractual appointment for 2 years renewable upon satisfactory performance

PURPOSE OF THE JOB

Responsible for general office administration and management of meetings.

  1. Responsible for general office administration and management of meetings.
  2. Receive and disseminate correspondence, mails and other information for the Convocation Office.
  3. Draft appropriate correspondences and submits them to the responsible authority for authentication and ensures their timely dispatch.
  4. Provides support in arranging meetings that directly fall under the ambit of the Convocation Office
  5. Responsible for booking for both local and international travel, confirming the freight and hotel reservations.
  6. Attend to all visitors by ascertaining the nature of business and directing them to appropriate officers.
  7. Oversee the maintenance, storage, security and retrieval of files and documents.
  8. Locate and attach appropriate files to correspondences to queries to be answered by the Executive.
  9. Attend to telephone inquiries, placing out-going mails and handling both In-coming and out-going faxes, e-mails and downloading.
  10. Requisition, manage and account for office equipment, materials and imprest in accordance with the procurement and financial policies.
  11. Record minutes of the Executive Committee.
  12. Perform any other official duties as may be assigned by theCommittee.

  • Dictation taken and transcribed.
  • Correspondences received and disseminated.
  • Supervise the dispatch of outgoing mail.
  • Booking for local and international travel made.
  • Clients attended to and directed to appropriate offices.
  • Requests for meetings synchronized and diary updated.
  • Appropriate files located and attached to correspondences.
  • Telephone calls attended to.
  • Office equipment requisitioned and managed.
  • Imprest requisitioned, managed and accounted for.
  • Minutes taken and actions caused

PERSON SPECIFICATION

  1. Should have a Bachelors’ degree of Kyambogo University.
  2. Should have good interpersonal skills.
  3. Should be computer literate.
  4. Good communication skills
  5. Good Administrative skills
  6. Should be innovative and self driven
  7. Should be between 25 to 35 years of age
